Role Overview

We are seeking a high-performing Executive Assistant to provide direct, day-to-day support to the Chief Operating Officer (COO). This role is critical to the productivity and effectiveness of senior leadership and involves a broad range of administrative, operational, and project-based responsibilities.

As the Executive Assistant, you will manage complex schedules, coordinate travel and meetings, support content creation and presentations, and ensure seamless follow-through on priorities and initiatives. You are exceptionally detail-oriented, proactive, and able to anticipate needs before they are articulated. You bring structure to ambiguity, operate with urgency, and handle sensitive information with absolute discretion in a fast-paced, fully remote environment.

This role requires someone who can independently manage tasks and projects from conception through completion while maintaining strong communication with executives and cross-functional stakeholders.

Key Responsibilities

  • Coordinate internal and external meetings for the COO and other senior leaders, including small and large group meetings across the organization

  • Manage complex scheduling, calendars, and logistics across multiple time zones

  • Prepare executives for meetings by creating agendas, coordinating speakers, developing briefing materials, and capturing follow-up notes

  • Support content development by translating memos and conceptual ideas into slides, visuals, outlines, and other clear, digestible formats

  • Plan and manage travel and offsites, balancing cost, time, and overall effectiveness

  • Communicate effectively on behalf of the COO with key leaders, partners, and employees

  • Manage the flow of information to ensure executive priorities and objectives are met

  • Own and execute projects and tasks on behalf of the COO as needed

What We’re Looking For

  • 5+ years of experience as an Executive Assistant, ideally supporting senior leaders in a technology or high-growth company

  • Highly proactive, self-starting, and able to operate effectively with minimal supervision

  • Strong sense of ownership and deep commitment to the success of the executive and the organization

  • Exceptional organizational skills, attention to detail, and project management capabilities

  • Excellent written and verbal communication skills

  • Technical fluency with modern productivity tools such as Slack, Notion, Google Workspace, and similar platforms

  • Proven ability to build strong relationships and collaborate effectively in a fully remote environment

  • Calm under pressure with a positive, solutions-oriented mindset
